What are Birth Records?

Birth records are a very important part of the database maintained by a state government. Most states happen to keep birth records of its citizens through the help of a centralized Department of Vital Records. These records are not for public intimation, and are only issued to the person concerned after he/she has attained at least 18 years of age. However, a parent, who happens to be mentioned in the birth record, can receive the record certificate on the concerned person’s behalf. There are avenues through which authorized personnel like genealogical researchers and legal guardians can access such records.

A general birth record contains information like the full name of the person concerned, the date and time of birth, the place, city and country where he/she was born. There are certain additional information like the full name of the parents and even the physician who attended the birth. These are issued by the state governments. Records which are 50 years old or more can be accessed for genealogical research. Birth records come in handy for people studying family history or even for parents interested in adopting kids. This is the primary source of information for any individual citizen of a state.

There is a method behind collection of such records. Everyday, a huge number of birth incidents take place. As mentioned earlier, the records are maintained by the state government. However, it is not possible for any state to recruit enough people to go and search for birth occurrences in the whole state. The process has been diversified among several small municipalities and the hospitals all around the state. Each and every hospital issues a birth certificate of their own after a birth takes place from their organization. The certificate details contain most of the information that is required for a complete birth record. The certificate details are then forwarded to the municipality corporation under which the hospital falls. The municipality has a database for each birth that occurs under its jurisdiction. After a certain period, every municipality submits all birth records collected from different hospitals to the state government department, which is the final keeper of the records.

This process may be long drawn, but helps in keeping the accurate details of the birth. This legal information is to be kept confidential by all parties involved, as it is the state government mandate to keep it private. However, for efficient collection of data, all hospitals that have the necessary permission to operate for child birth must be registered with the municipality. Any unregistered hospital, in that case, would lead to the birth record not being accepted, thus creating a problem for the newborn’s identity.

Birth records can be accessed by individuals concerned in the form of birth certificates, which are generally hard copies of the record. However, with the advent of technology, some state governments provide birth information online, provided the user has the valid information about the person whose record is to be accessed.
